Secret Aesthetics had excellent online visibility and strong website traffic thanks to the SEO work we had carried out with them over several years. However, they were experiencing an issue with lead quality. Despite high enquiry volumes, many leads were time wasters who either did not respond or failed to convert into consultations.
What were their challenges?
Before working with LTF on this project, Secret Aesthetics faced a key problem: an abundance of website enquiries, but too few qualified bookings. Their goals were clear:

We introduced a streamlined way for patients to engage with Secret Aesthetics online, focusing on improving lead quality and reducing the clinic’s admin burden. - Quick wins
We built and launched a virtual assessment tool as a website pop-up. Leveraging the clinic’s strong SEO-driven traffic, which LTF had previously worked on over the years, this tool immediately captured significant interest and bookings. - Long-term plan
We consulted on refining the sales process to ensure the tool delivered maximum value. This included advising on availability management, optimising the booking journey, and reducing no-shows through structured steps. - Rollout approach
The virtual assessment allowed patients to:- Select a treatment area or concern
- Upload images for a Doctor to review
- Choose a date/time for a virtual consultation call and be booked into the system
This not only pre-qualified leads but also gave the clinic valuable patient information upfront, making the consultation more efficient.
We then monitored performance and suggested improvements such as requiring all questions to be answered, limiting how far ahead patients could book, and creating reminder emails to ensure attendance.



Measurable impact
Since launching the virtual assessment tool on 3rd September 2024, Secret Aesthetics has generated:
- 413 completed virtual assessments. Each one a fully qualified lead with images uploaded and a consultation booked.
- Averaging a minimum of 1 high-intent lead every day, averaging at 8 per week or at 35 per month.
- 100% qualified bookings – no wasted time on low-quality enquiries.
It’s important to note that this is not the clinic’s only lead source. Secret Aesthetics also continues to generate large volumes of enquiries through:
- Website contact forms
- Direct emails and telephone calls
- Social media channels
- In-person consultations
Even more impressively, the virtual assessment tool has not been live the entire time – it has been paused for staff availability across several periods, totalling around 2 months offline. Despite this, it still delivered over 400 high-quality bookings, proving the strength of demand and the efficiency of the system.
The virtual assessment has added a new, streamlined pipeline of qualified leads that complements these other channels, reducing admin workload and ensuring staff time is spent only on high-value patients.

Next steps include:
